Shelters: Managing Beds
Agencies should be maintaining their bed unit list in the Shelters module on an ongoing basis. Projects have the ability to hold a bed to indicate that the bed is either reserved or otherwise unavailable (i.e. renovations), to release a bed to indicate that a held bed is now available to be filled, or to move clients from one bed to another within a unit list. This workflow will guide the HMIS user through each option.
Moving a client to another bed
Note: Clients can be moved from one bed to another within a single unit list, but cannot be moved from one unit list to another.
- Select appropriate Enter Data As provider
- Click on Shelters
- Select correct Unit List and then click Submit
- Click View All
- From the bed list, click on the client's name
To move the selected client, click Assign Unit. In the dropdown, select the bed the client is being moved to and click Select to save the assignment. The client will have moved to the new bed.
To move other household members, scroll down to the Household Members table. Click Assign Unit to select the bed the client is being moved to in the dropdown and click Select to save the assignment. Repeat these steps for each family member, as needed.
Holding a bed
- Select appropriate Enter Data As provider
- Click on Shelters
- Select correct Unit List and then click Submit
- Click View All
- Click HOLD to hold the bed and make it unavailable.
Releasing a bed
- Select appropriate Enter Data As provider
- Click on Shelters
- Select correct Unit List and then click Submit
- Click View All
- Click HELD to release the bed and make it available.
