Adding Clients to Existing Households

This guide has been developed to guide users through the steps of adding additional household members to an existing household. This guide focuses exclusively on updating the household composition and does not include steps for including the additional client in a pre-existing entry/exit or shelter stay.

Step-by-Step Instructions

  1. Click on the Manage Household button for the household that is missing some members.
  2. Change the Household Type at the top of the Household Information window, if the inclusion of the new household members will change the household type.
  3. Click the Add/Delete Household Members button. Note: If you must remove a member from a household, remember to click on the red minus sign on the Household Members table. Do not delete a member from the household using the trash can icon unless directed to do so by an ICA Missouri team member.
  4. Click the black arrow in front of Add Clients to Household in order to show the Client Search screen. 
  5. Use the Client Search section to search for and/or create new clients.
    • If a client is already in the system, that client will appear in the Client Results table. You can add the client to this household by clicking the green plus sign. Note: Please ensure that any client existing in the system is the specific person you are looking for by matching the client's SSN and DOB. 
    • If no matching client appears in the Client Results table, you will need to create a new client profile by going back up, filling in all of the answers in the Client Search table, and then clicking the Add New Client with New Information button.
    • Once a client has been selected, the client will appear in the Selected Clients table. Once all clients are listed in the table, please click the Continue button. Note: If someone is mistakenly added to the household, that person can be removed from the household by clicking the red minus sign next to the client.
  6. The Household Information window then comes up. On the Household Members table, please answer Head of Household and Relationship to Head of Household for each household member.
  7. Scroll down to the Client Record and Client Demographics sections. Complete/update these questions for each household members, flipping to each member via the Household Members selection tool on the left side of the window.
  8. Once all of these questions have been answered/updated for each member, click the Save & Exit button to close the window.
