Editing or Deleting Errors in NbN Shelter Stays
This article demonstrates how to correct errors in a NbN shelter stay. If an error is made, a stay record may need to be edited. If a stay was recorded that should not exist, it may need to be deleted to correct the client's record.
Editing an Error in a NbN Shelter Stay
Should you need to adjust the Entry or Exit date of a client's shelter stay record due to an entry error, you will do so via the Service Transactions.
- Navigate to the client's profile, then select the Service Transactions tab.
- Select Entire Service History
- Next, locate the Shelter Stay instance that needs to be corrected. Select the Magnifying Glass icon associated with the desired Shelter Stay.
Confirm that the selected Shelter Stay is the one you wish to edit by reviewing the Date In and Date Out sections. If this is the stay you wish to edit, select Edit Shelter Stay.
From the Unit Stay window, select the Service Transactions tab.
- From the Service Transactions tab, select Shelter Stays
- Select the Pencil Icon next to the Stay record that needs to be edited.
- Enter the correct dates in the Date In and Date Out fields, then select Save.
Deleting an Errant NbN Shelter Stay
If a client was checked into the shelter when they should not have been, the Service Transaction associated to the stay will need to be deleted. This should only be done when the stay should not have been created in the first place. This is not the process for exiting a client from the shelter.
To begin, search the client by name or client ID to get to the Client's Profile.
- From the Client's Profile, select the Service Transactions tab,
- Next, toggle to Entire Service History.
Identify the Need and Shelter Stay pair that align with the incorrect check-in. A Transaction cannot be recovered once it is deleted, so be sure to double check the data to ensure you are deleting the desired instance.
- Next, click on the trash can icon next to Need. A pop-up screen will appear asking to confirm that this is the instance of the Need which needs to be deleted. Once you have confirmed this is correct, select Delete. Deleting the Need will also delete the Shelter Stay, but not vice versa, so it is important to delete the Need.
