AHTF Grantee Report

This guide is designed to assist HMIS-participating AHTF Grantees in generating the AHTF Grantee Report. Grantees will run it at least quarterly for submission to the Affordable Housing Commission (AHC) in order to be reimbursed.

Recommended Export Format

  • If submitting the report electronically, Schedule to Microsoft Excel - Reports

Important! Because the report contains identifying information (names), the report cannot be emailed (even within agencies) unless encrypted, nor can it be shared outside of the agency. The steps to encrypt an Excel workbook are available on this tip sheet. Ensure that the password for the Excel spreadsheet is not in the same email as the report.

Important! Because the report contains identifying information (names), you must ensure the document(s) containing the identifying information are fully concealed (e.g., use an envelope with a security tint or keep pages with identifying information surrounded by other pages) prior to submitting the report to the AHC.

Setting the Prompts

Prompt Instructions
Select Provider: Select the project for which you wish to run the report.  If using the "Select Reporting Group" prompt, leave this blank.
Select Reporting Group: Select the reporting group for which you wish to run the report. If using the "Select Provider(s)" prompt, leave this blank.
Include only clients identified as receiving AHTF services? If your project serves all clients using AHTF funding, you will leave this set to "No." If your project serves only specific clients using AHTF funding, select "Yes."
Include clients in the 20.1-80% of AMI range? If your project only serves clients in the 0-20% of AMI range using AHTF dollars, you will set this to "No." Otherwise, leave this set to "Yes."
EDA Provider If running the report for a single project, select the same project here.

If running the report for a reporting group, leave this set to - Default Provider-.
Enter effective date Enter the date after the last date of the reporting period in m/d/yyyy format. For example, if you're running a report for 7/1/2020-6/30/2021, the date entered in this box would be 7/1/2021.
(Optional): Enter MHDC Grant ID: Enter the AHC-assigned Grant ID for your project. The grant ID is provided by AHC and follows this format: ##-YYG (e.g., 97-20G)
Enter Avg Meals Served/Person/Day: Enter the average number of meals your program serves (using AHTF funding) per person per day (this may be a decimal like 2.17). If your program does not serve meals using AHTF funding, enter "0" in this field.
Enter Start Date: Enter the start date for the reporting period in m/d/yyyy format. For example, if you're running a report for 7/1/2020-6/30/2021, the date entered in this box would be 7/1/2020.
Enter End Date PLUS 1 Day: Enter the date after the last date of the reporting period in m/d/yyyy format. For example, if you're running a report for 7/1/2020-6/30/2021, the date entered in this box would be 7/1/2021.

Using the Report

This report has four tabs, each serving a specific purpose.

Report Summary tab

  • Ensure that the agency, project, and grant ID at the top of the report are correct. 
  • Ensure that the date range on the report is correct. 
  • Ensure the information in the population, ages, household AMI, nights of service, and meals (if applicable) appear to be reasonable based upon your program.
  • Ensure there are no "missing" zip codes resulting in a blank line in the zip code table. 
  • Ensure the total amount of financial assistance provided (if applicable) aligns with your agency's financial records. 

Client Detail tab

  • Ensure all Household IDs are complete. Household IDs should be between 7 and 9 characters and should include both letters and numbers. If one or more Household IDs do not meet this criteria, please contact the helpdesk for assistance.
  • Ensure all rows contain an accurate street address and zip code. 
  • Ensure information on the table aligns with your grant agreement. 
    • Example 1: If your grant says you will only serve households with veterans, ensure there is at least one veteran on each line. 
    • Example 2: If your grant says you will only serve households with AMIs in the 0-20% range, ensure all households fall in the 0-20% range or adjust input controls to filter out those in the 20.1-80% range.

Services Detail tab

If your project does not provide any financial assistance and/or supportive services utilizing AHTF dollars, this tab will be blank.

  • Ensure all Household IDs are complete. Household IDs should be between 7 and 9 characters and should include both letters and numbers. 
  • Ensure that any services which included financial assistance have both the amount paid and the payee fields completed. 

Additional Information

This tab contains information about the report that can be utilized by ICA staff to determine whether the report was run properly by the user. If you seek assistance with this report from the ICA Missouri Helpdesk, please be prepared to read/send information off of this tab to the individual who assists you.

If you need assistance running the report, understanding the information in the report, or troubleshooting potential errors, please reach out to the ICA Missouri Helpdesk. Include the name and date of the BusinessObjects report as it appears in your BI Inbox in your request for assistance. Do not attach the report to any emails going to the helpdesk as the report contains personally identifying information and cannot be transmitted unless encrypted.
