Night-by-Night (NbN) Shelter Clients with Exit Errors

This report helps users identify clients who need to be exited from a Night-by-Night (NBN) shelter and to confirm that those who have been exited were done so correctly.

When should clients be exited from a NBN shelter?

Clients must be exited the day after their last shelter stay. For example, if a client's last shelter stay was the night of 3/21 to the morning of 3/22, the client should be exited on 3/22.

Specifically, this report looks at:
  • Open enrollments to see which clients have not had a shelter stay in the last 90 days. These clients must be exited as of the day their last shelter exit.
  • Exited clients to confirm whether they were exited on the day of their last shelter exit. Anyone with a different end date must have their end dates updated.

Setting the Prompts

Prompt Instructions
Select Provider(s): Select the project(s) for which you wish to run the report. 
Note: If this prompt is completed, the "Select Reporting Group(s)" prompt must be left to "none selected" or left incomplete (blank).
Select Reporting Group: Select the reporting group for which you wish to run the report. 
Note: If this prompt is completed, the "Select Provider(s):" prompt must be left to "none selected"or left incomplete (blank).
Select CoC Code: This prompt is for use by ICA System Administrators only. Leave set to "none selected."
EDA Provider If only one project is selected in the "Select Provider(s):" prompt above, select the same project here. 
If more than one project is selected in the "Select Provider(s):" prompt or if a reporting group has been selected in "Select Reporting Group:" prompt, then select one of the projects within the selected projects or reporting group. 

Using the Report

This report has 4 tabs, each serving a specific purpose.

Important! Because the report contains identifying information (names), the report cannot be emailed (even within agencies) unless encrypted, nor can it be shared outside of the agency. 

Summary tab

The summary tab contains two tables showing all projects included in the report. The first table shows the number of clients with open project entries and the number of clients with more than 90 days since their last shelter stay are shown. 

The second table shows exited clients and the number of those clients who have incorrect exit dates based on their last shelter stay.

Open Enrollment Client Detail tab

This table is split into sections by provider if the report is run for more than one provider. The table includes:

  • Client ID
  • Client Name 
  • Project Start Date
  • Last Shelter Service End Date: The day the client exited from their most recent shelter stay.
  • Days Since Last Shelter Exit: The number of days between clients' Last Shelter Service End Date and the date the report was run. 

All columns in this table will show in red if the column "Days Since Last Shelter Exit" is more than 90. These clients must be exited from the project with an exit date that is the day following their last shelter stay.

Exited Clients Detail tab

This table is split into sections by provider if the report is run for more than one provider. The table includes:

  • Client ID
  • Client Name 
  • Project Start Date
  • Project End Date
  • Last Shelter Service End Date: The day the client exited from their most recent shelter stay.
  • Days Between Last Shelter Exit and Project Exit: The number of days between clients' project exit and their Last Shelter Service End Date. This should be 0.

All columns in this table will show in red if the column "Days Between Last Shelter Exit and Project Exit" is not 0. These clients must have their project exit dates adjusted to be the day of their Last Shelter Service End Date.
