Report Run History (APR, CAPER, and DQF)

 This guide has been developed to assist users in using the Report Run History function recently introduced in ServicePoint. The Report Run History is available for three different provider ("canned") reports:

  • CoC APR (CoC Annual Performance Report)
  • ESG CAPER (ESG Consolidated Annual Performance and Evaluation Report)
  • Data Quality Framework (DQF)

Step-by-Step Instructions

Before beginning, ensure your Enter Data As (EDA) is properly set:

  • If you are running the report for only a single project, your EDA must be set to the project for which you are running the report. 
  • If you are running the report for a reporting group, set your EDA to one of the projects within the reporting group.

Steps

Click "Reports" on the left hand side of the ServicePoint window to open the reporting module.

Select the applicable report you wish to run (CoC APR, ESG CAPER, or Data Quality Framework).

Set the report prompts according to the instructions below.

Prompt Instructions
Name In this field, you may enter a name to help you identify the specific report. The name field is optional and will not be included in a downloaded zipped file of the report.
Description In this field, you may enter a description of the report. The description field is optional and will not be included in a downloaded zipped file of the report.
Provider* Provider
This option is selected by default and will run the report only for a single project. The correct project should be automatically selected because the EDA was set earlier. If it does not appear correctly, set your EDA and go back to step 1. 

Reporting Group
If you need to run the report on more than one project, you'll need to use a reporting group. Click the Search button and select the appropriate reporting group.

CoC
The Data Quality Framework report includes an option for reporting at the CoC level. This should be utilized only by ICA and will not provide accurate results if used by persons outside of ICA. This option is not available for the CoC APR or ESG CAPER.
Program Date Range* This is just the date range for the report. You’ll fill in both a start and end date for the report here. Since this is a provider report, you’ll use the actual start and end dates of the report. 
Entry/Exit Types* Select the entry/exit type(s) your project (or reporting group) utilizes.

Click "Build Report" to begin the running of the report.

If you want to check to see if your report is still running or may have encountered an error, you can use the "Refresh" button within the Report Run History table to see the report's current status. 
Once the report has finished running, a message will briefly appear on the screen saying that the report has finished running. The message alert icon will also turn orange to indicate you have an unread message.

Once you have been notified that the report has finished running, you will need to refresh the Report Run History table, then click on the magnifying glass icon for that report build to open and view the report. 
If you need to download the report, you can also use the "Download" button to download the zipped CSV files. The CoC APR and ESG CAPER downloaded files can be uploaded to Sage if needed. 

Additional Features

The report run functionality also has some additional features which can be very useful.

Run two reports simultaneously

With the addition of the report run functionality, it is now possible to run two reports simultaneously. This applies across the CoC APR, Data Quality Framework, and ESG CAPER reports, so you can only run two of any of those three reports at a time. 

Leave and come back

If you're running a report that has a lot of client records in it, you also now have the ability to leave and come back. You could start another report running, go look at a client record, or even log out of the system. Once the report finishes, you will see the same notification and you'll be able to open and review the finished
