BoS Coordinated Entry: Recording Mainstream Referrals

This guide outlines the process of recording referrals provided to clients by a BoS CES Access Points for any of the services identified as a mainstream referral by the BoS CE Committee.

Mainstream referrals include Bus Fare, Emergency Shelter, General Benefits Assistance, Homeless Motel Vouchers, Mortgage Payment Assistance, Rent Payment Assistance, Street Outreach Programs, Transitional Housing/Shelter, Transportation, and Utility Assistance.

Access the HoH's Client Record

  1. Select your agency's BoS CES project for the Enter Data As provider.
  2. Search for and open the Head of Household’s record in the Clients tab.
  3. In the Back Date prompt, enter the date the referral was provided and click Set New Back Date.
  4. Click on the Service Transactions tab in the HoH's client record.

Record a referral

  1. Click the Add Referrals tile.
  2. Skip the Household Members section as other household members are not included in BoS CE referrals.
  3. In the Service Code Quicklist, select the appropriate option for the mainstream referral and click Add Terms. 
    • Do not click on "Service Code Look-Up" or "Add Terms & GoTo Search Results".
  4. In the Referral Provider Quicklist, select "Prevention/Diversion Providers (565)" from the Provider dropdown menu and click Add Provider.
    • "Prevention/Diversion Providers (565)" is the only option ever selected as the Provider for mainstream referrals. 
  5. Skip the Referral Data section as this information is not used for BoS CE referrals.
  6. In the Referrals section, check the box under the service that was added for the referral.
  7. Under Selected Needs, complete the following fields as indicated to document the referral was provided.
    • Need Status: Closed
    • Outcome: Fully Met 


  8. Click Save ALL to ensure the referral is properly saved in the client's record.
  9. Repeat this process as needed for additional referrals provided.

Coordinated Entry Event

Some mainstream referrals qualify as a Referral Event, which means a Coordinated Entry Event also needs to be recorded in the HoH's client record under the Entry/Exit tab. The date the referral was provided will determine where the CE Event needs to be recorded: Entry Assessment, Update Assessment as an Interim, or the Exit Assessment.
