Locating Reports in the BusinessObjects Folder System

This guide is designed to assist users with a BusinessObjects license (formerly an ART license) within WellSky Community Services (formerly ServicePoint) to navigate and become familiar with the Folder System within BusinessObjects.

Report & Folder Structure Changes

As part of the transition from ART to BusinessObjects, the ICA Missouri Reporting Team has made some adjustments to the location of some reports. Please take note of the following changes, and please let us know if you have any difficulty finding a report that you need. 

Agency-Specific Reports

All reports which were built for use by a specific agency, which were previously included in the appropriate CoC-specific folder, have been moved to a new "Agency-Specific Reports" folder. Within the folder, there are folders for each of the agencies with one or more active agency-specific reports.

CoC-Specific Folders

As was present in ART, each CoC has their own specific folder. Items not directly related to the specific CoC (i.e., for coordinated entry or other CoC-developed reports) have been moved to other folders, including both Agency- and Funding-Specific Report folders. 

Funding-Specific Reports

All reports which were designed to be used with a funding source, whether as a report to check data quality for programs funded by that project or as a report which is sent to the specific funder, are now consolidated into the "Funding-Specific Reports" folder. This includes funding sources such as: ESG/MESG, MHTF, PATH, SSVF, RHY, AHTF and others.

Program Rosters

All of the program roster reports which were intended for use by any project (i.e., not funding-specific) have been moved into a new "Program Rosters" folder. 

Other Loose Reports

All loose reports which were in the general public folder have been moved to the most appropriate folder based on their purpose. If one of the loose reports you used to use does not fit into one of the three categories listed above, it is most likely in the Data Quality and Completeness Reports folder.

Launch BusinessObjects

In the upper right-hand corner of the WellSky Community Services site, click on Connect to BusinessObjects. BusinessObjects will open in a new tab in your browser.

Note: If you do not see a "Connect to BusinessObjects" button, you do not have a BusinessObjects license. If you need one, an authorized representative of your agency will need to request you be assigned one by sending an email to the ICA Missouri Helpdesk.

Open Folder System

After opening the BusinessObjects home page, click on the Folders button to open the Folder Structure.

In the left-hand column, click on Public Folders.

In the main portion of the window, click on missouri_live_folder. This is the equivalent of the "Public Folder" in ART.

Within the missouri_live_folder, click on the folder containing the report you wish to run.  Continue clicking on the appropriate folder(s) in the same manner until the report you wish to run is listed on the screen.

Select Report Action

On the row for the report you wish to run, click on the ••• button on the right-hand side to open the options menu for the individual report. Then select the appropriate option from the dropdown. Descriptions of the three options are available below the screenshot.

View

Viewing reports in BusinessObjects is a good option when you're wanting to quickly see what a report looks like, when you need to use input controls, or if you don't want to save a copy in the report run history for 60 days.

Schedule

Except in limited circumstances, ICA generally recommends using the Schedule functionality when running reports in BusinessObjects. This allows the report to run in the background, rather than require you to watch it load, and also ensures a copy of the report is saved in the History for the individual report for 60 days, and a copy will be sent to your BI Inbox for 365 days (assuming the BI Inbox is selected as a delivery destination).

History

Using the History function of BusinessObjects allows you to see the previously scheduled copies of the individual report. This can be helpful when trying to find a copy of a report you ran within the last 60 days.

What about the other options in the dropdown?

The other options available in the dropdown menu either are not used within the Missouri HMIS or should only be utilized by the ICA Reporting Team.
