Get Help® Shelter Reconciliation Report

At the direction of the St. Louis City CoC board, emergency shelters located within the CoC are expected to utilize the Get Help® application to report their bed openings so that outreach workers and others who refer clients to shelters are able to see their live openings and refer appropriate clients in a timely fashion. In order to ensure matching client data across both Get Help and the HMIS, this report has been designed to allow HMIS users to confirm that intake/start dates and clients match between the two systems. This report also helps ensure that shelters provide accurate data for use in the CoC's Shelter Dashboard.

Recommended Reconciliation Frequency

Shelters are encouraged to reconcile records between systems on a weekly basis, but shelters may find it useful to do so more frequently, especially if they serve a large volume of clients. 

Setting the Prompts

Prompt Instructions
EDA Provider Select the name of a shelter project which uses HMIS within your agency. If your agency has more than one shelter project in HMIS, only one shelter can be selected at a time.
Enter Start Date: Enter the start date for the reporting period in m/d/yyyy format. For example, if you're running a report for 5/1/2023-5/31/2023, the date entered in this box would be 5/1/2023.
Enter End Date PLUS 1 Day: Enter the date after the last date of the reporting period in m/d/yyyy format. For example, if you're running a report for 5/1/2023-5/31/2023, the date entered in this box would be 6/1/2023.

Comparing Reports and Correcting Data

Once the companion reports have been pulled for the same date range and shelter from both HMIS and Get Help, each row will need to be compared to ensure the two systems have matching information for each client's first and last name, date of birth, intake/start date, and if applicable, discharge/exit date. If information between the two systems does not match, other records/sources may need to be referenced to gather the correct information before addressing inaccurate information in either system. 

Note: Entering the HMIS/Client ID into Get Help is not required.
