Accepting or Declining Referrals in HMIS

Select appropriate Enter Data As provider (provider accepting referral).
Clients Module
Client Search
If the client refuses to sign the ROI, the user must first contact the ICA Helpdesk before doing proceeding. (There should be a client record created unless the client refused the ROI at Housing Connect.)
Search by Client ID or Enter Head of Household’s Name and SSN.
Optional: Enter nickname in Alias
- Search
- If a match is found, click green plus next to the name to open the client record.
- If no matches are found, verify name & SSN, click Add New Client with This Info.
- Back Date Prompt: change the date to intake date and click Set New Back Date.
Service Transactions
Accepting Referral
- Click on the Service Transactions tab.
- Click on the View Entire Service History icon.
- Click the pencil icon that correlates to the Referral to your agency.
- Make sure all household members were referred (all names are checked).
- Scroll down to the Referral Data section and select Accepted for the Referral Outcome.
- Click Save & Exit.
After accepting the referral, return to your regular data entry workflow.
Declining Referral
- Click on the Service Transactions tab.
- Click on the View Entire Service History icon.
- Click the pencil icon that correlates to the Referral to your agency.
- Scroll down to the Referral Data section and select Declined.
- Select the appropriate reason from the If Canceled or Declined, Reason Quick List.
- Click Save & Exit.
Once you have declined the referral in HMIS, you will need to contact the Housing Resource Coordinator or initial assessment point.
