Exiting Clients from a NbN Project

Clients should be exited from the NbN shelter project either 1) after not staying a night at the shelter for 90 days or 2) when the client has indicated that they will not be returning to the shelter, such as when they have obtained housing.

Checking Out of a Shelter Bed

Before exiting the client from the project enrollment, ensure that they have been checked out of the bed from the Shelters module. After selecting the red "-" icon shown below, you will be able to enter the date the client left the shelter. This should be the morning after the last night that they stayed.

Exit from Project

Once the client has been checked out of the shelter bed, they can be exited from the Project Enrollment.

  1. Go to the Client's Profile. Set the system Back Date to the client's Exit Date.
  2. Then select the Entry/Exit tab.
  3. Now you will exit the client from the project enrollment. Select the Pencil Icon in the Exit Date column for the associated project entry.

When exiting the client, be sure to answer the exit assessment questions including Reason for Leaving and Destination.

Date of Program Exit

When exiting a client from a NbN Project Enrollment, it is important to select the correct exit date. The exit date should be the morning after the last night the client stayed in the shelter.

Example

A client first checked in to the shelter on February 2. This is their project enrollment Start Date.

They stayed in the shelter periodically for several days, then would be gone for a few weeks.

The last night the client stayed at the shelter was April 6. They were checked out of the shelter bed on the morning of April 7.

Now it is July and after running the Night-by-Night (NbN) Shelter Clients with Exit Errors Report, you see that this client has not stayed in the shelter for over 90 days. Therefore, it is time to exit them from the program.

Though it is currently July, you should set your back date to April 7 for their project Exit Date since that was the last morning they left the shelter.
