ROI Records Validation Report

This report shows the Release of Information (ROI) information recorded in the system for all clients with an active enrollment in the report period in the selected project during the reporting period. It is intended to help agencies identify clients who are missing an ROI, have an expired ROI, or who have ROIs that will be expiring soon. While a single paper ROI can be collected for the entire household, all members of a household must have an ROI recorded in WellSky Community Services. Note: you can now run this report for any time period to check if clients who had an active enrollment during that time period had an ROI on file.

Note: This report does not apply to protected providers. If you have any questions about whether your project is protected, please contact your system administrator.

Setting the Prompts

Prompt Instructions
Select Provider(s): Select the project(s) for which you wish to run the report. 
Note: If this prompt is completed, the "Select Reporting Group(s):" prompt must be left incomplete (blank).
Select CoC(s): This prompt is for use by ICA System Administrators only. Leave set to "none selected." 
Select Project Type(s): This prompt is for use by ICA System Administrators only. Leave set to it's current selections.
Select Reporting Group(s): Select the Reporting Group(s) for which you would like to run the report.
Note: If this prompt is completed, the "Select Project(s):" prompt must be left incomplete (blank).
EDA Provider If more than one project is selected in the "Select Provider(s):" prompt then select one of the projects.
Enter Start Date: Enter the start date for the reporting period in m/d/yyyy format. For example, if you're running a report for 7/1/2020-6/30/2021, the date entered in this box would be 7/1/2020.
Enter End Date PLUS 1 Day: Enter the date after the last date of the reporting period in m/d/yyyy format. For example, if you're running a report for 7/1/2020-6/30/2021, the date entered in this box would be 7/1/2021.
Show Client Names?: This prompt is available to allow users to determine whether the report needs to show client names on the Detail tab. In general, this should be left "no" unless generating the report for the purpose of checking individual client information and names are necessary, in which case the prompt should be changed to "yes."

Using the Report

This report has 3 tabs, each serving a specific purpose.

Important! If the "Show client names?" prompt is set to "Yes," then the report cannot be emailed (even within agencies) unless encrypted because it contains directly identifying information, nor can it be shared outside of the agency.

Summary tab

The summary tab contains a table showing all projects included in the report. For each project, the number of Current "Yes" ROIs, Current "No" ROIs, Expired ROIs, and Missing ROIs are shown. These four numbers equal the total number of ROIs that should be recorded for each project.

All Clients tab

The All Clients table lists the ROI with the most recent start date for each client, sorted by Provider, then Client Id, then Entry Date.

Column Name Definition Data Flags
Provider The provider that the client was entered into. N/A
Project Type The project type for the provider. N/A
Client ID The client's Community Services ID. If a client has multiple entries, this cell may be shown in light gray  if this isn't the client's most recent start date.
Client Name If the 'Show Client Names?' prompt is set to "Yes", this column will show the client's name. If the 'Show Client Names?' prompt is set to "No", this column will show "Client Name (hidden)" in grey. If a client has multiple entries, this cell may be shown in light gray  if this isn't the client's most recent start date.
Entry Date The date that this client was entered into the project. If a client has multiple entries, this cell may be shown in light gray  if this isn't the client's most recent start date.
Exit Date The date that this client was exited from the project. This will be blank if the client hasn't exited at the end of the report period. If a client has multiple entries, this cell may be shown in light gray  if this isn't the client's most recent start date.
ROI Granted? The client's response when completing the ROI, either "Yes" or "No". If a client answered 'No', this cell will be shown in orange

If a client has multiple entries, this cell may be shown in light gray  if this isn't the client's most recent start date.

If a client is missing an ROI for this provider, this cell will show "Missing".
ROI Start Date The date that the most recent ROI begins. If the start date for this ROI doesn't match the entry date, but is within the same year as the entry date, this cell will be shown in blue

If a client has multiple entries, this cell may be shown in light gray if this isn't the client's most recent start date.

If this ROI is expired, this cell will be shown in red

If a client is missing an ROI for this provider, this cell will show "Missing".

If this cell is showing "#MULTIVALUE", this means a client has multiple ROIs for the same project starting on the same day. Only one ROI should be kept to fix this error.
ROI End Date The date that the most recent ROI ends. If a client has multiple entries, this cell may be shown in light gray if this isn't the client's most recent entry.

If this ROI is expiring within 30 days of the end of ther report period, or within 30 days of the report being run, this cell will be shown in orange

If this ROI is expired, this cell will be shown in red

If a client is missing an ROI for this provider, this cell will show "Missing".

If this cell is showing "#MULTIVALUE", this means a client has multiple ROIs for the same project starting on the same day. Only one ROI should be kept to fix this error.
1 Year ROI? This column shows whether the length of time for the ROI is 1 year. If the ROI is greater than or less than 365 days, this cell will be shown in orange

If a client has multiple entries, this cell may be shown in light gray if this isn't the client's most recent entry. 

If a client is missing an ROI for this provider, this cell will show "Missing"

Current Clients - Missing or Expired ROI tab

The Current Clients - Missing or Expired ROI table lists the ROI with the most recent start date for each client, sorted by Provider, then Client Id, then Entry Date, filtered to only show clients who have no exit date from their project, and whose ROIs have either expired, or are missing ROIs for this project. If a client's ROI has expired and they are current enrolled in your project, a new ROI must be completed for this client. If a client is missing an ROI for this project entry, please record the ROI collected for the client, or contact Help Desk.  

Additional Information tab

This tab contains information about the report that can be utilized by ICA staff to determine whether the report was run properly by the user. If you seek assistance with this report from the ICA Missouri Helpdesk, please be prepared to read/send information off of this tab to the individual who assists you.

If you need assistance running the report, understanding the information in the report, or troubleshooting potential errors, please reach out to the ICA Missouri Helpdesk. Include the name and date of the BusinessObjects report as it appears in your BI Inbox in your request for assistance. Do not attach the report to any emails going to the helpdesk as the report contains personally identifying information and cannot be transmitted unless encrypted.
