ROI Records Validation Report

This report shows the Release of Information (ROI) information recorded in the system for all clients with an active enrollment in the report period in the selected project as of the date the report is run. It is intended to help agencies identify clients who are missing an ROI, have an expired ROI, or who have ROIs that will be expiring soon. While a single paper ROI can be collected for the entire household, all members of a household must have an ROI recorded in ServicePoint. Note: you can now run this report for any time period to check if clients who had an active enrollment during that time period had an ROI on file.

Note: This report does not apply to protected providers. If you have any questions about whether your project is protected, please contact your system administrator.

Setting the Prompts

Prompt Instructions
EDA Provider If only one project is selected in the "Select Provider(s):" prompt, select the same project here. 
If more than one project is selected in the "Select Provider(s):" prompt then select one of the projects.
Select Provider(s): Select the project(s) for which you wish to run the report. 
Enter Start Date: Enter the start date for the reporting period in m/d/yyyy format. For example, if you're running a report for 7/1/2020-6/30/2021, the date entered in this box would be 7/1/2020.
Enter End Date PLUS 1 Day: Enter the date after the last date of the reporting period in m/d/yyyy format. For example, if you're running a report for 7/1/2020-6/30/2021, the date entered in this box would be 7/1/2021.

Using the Report

This report has 3 tabs, each serving a specific purpose.

Summary tab

The summary tab contains a table showing all projects included in the report. For each project, the number of Current "Yes" ROIs, Current "No" ROIs, Expired ROIs, and Missing ROIs are shown. These four numbers equal the total number of ROIs recorded for each project.

Details tab

The Most Recent ROI table lists the ROI with the newest end date for each client, sorted by ROI End Date, and contains the following columns: 

  • Client ID
  • Entry Date - The date the client entered into the project. 
  • Exit Date - The date the client exited the project, if they have exited.
  • ROI Granted - All clients must have an active ROI recorded in the system. Each record must indicate whether or not the ROI was granted, which is indicated in this column. Records with a 'No' recorded for release granted will appear in orange in this column. Agencies are responsible for ensuring that these client records have been properly locked down in the system.
  • ROI Start - The start date of the ROI. This must match the ROI start date on the paper form, where applicable. Clients should have a valid ROI as of the date they enter into the project. If the ROI Start is after the project start date, and in the same year, the ROI Start will be highlighted red
  • ROI End - The end date of the ROI. The end dates of expired ROIs will appear in red and be at the top of the table. Any client with an expired ROI must have a new ROI signed for their household that must be recorded in the system. The end dates of ROIs that will be expiring within 30 days of the date of the report appear in orange. Agencies may want to preemptively collect and record a new ROI for these clients. Valid ROI end dates that will not be expiring within 30 days appear in grey
    • Note: Because you can now run the report for any report period, some clients may have already exited the project. For clients with exit dates, any ROI end that is before the exit date will appear in red.
  • 1 Year ROI? - ROIs are to expire exactly one year from the ROI Start Date. (E.g. An ROI with a start date of 10/1/18 should have an expiration date of 10/1/19.) This column indicates whether the ROI was recorded for exactly 1 year, less than 1 year, or more than one year. ROI records that were recorded for exactly 1 year will have a grey "Yes" appear in this column. Any ROI recorded for “> 1 Year” will show in red in this column and must be corrected. ROIs recorded for less than one year will be shown in orange in this column. Agencies can change the ROI end date to exactly 1 year after the start date.
  • The Missing ROI table lists Client IDs of individuals that do not have an ROI recorded by the selected provider. ROIs are project-specific, meaning that the ROI must be recorded for the selected project. If the agency has an active ROI recorded for a different project within the agency, it will still appear as a missing ROI in the report. Agencies must collect a ROI for these clients that must be recorded in the system.  

Additional Information tab

This tab contains information about the report that can be utilized by ICA staff to determine whether the report was run properly by the user. If you seek assistance with this report from the ICA Missouri Helpdesk, please be prepared to read/send information off of this tab to the individual who assists you.

Do not attach the report to any emails going to the helpdesk as the report contains personally identifying information and cannot be transmitted unless encrypted.
