MHDC Billing Reports
For each MHDC-assigned Grant ID, you must run two reports each billing cycle: one Detail/Audit Report and one Billing/Roster Report. If your grant has been split into multiple projects within the HMIS, you will need to select all projects within that MHDC-assigned Grant ID when running the applicable report.
Detail/Audit Report
The Detail/Audit Report should be run first and used to check for missing or incorrect information. Any necessary corrections should be made, and then the report will need to be run again following the next BusinessObjects Warehouse Rebuild. Once the Detail/Audit Report is correct, you must save a copy of the report for your agency’s internal files and keep it available for any on-site MHDC monitoring visits.
Billing/Roster Report
Once the Detail/Audit Report is clean, the Billing/Roster Report should be run and one last check for errors or missing information should take place. It is unlikely, but not impossible, that any errors would appear on the Billing/Roster Report once the Detail/Audit Report is clean. In the event any errors are found, make applicable corrections and then re-run the report following the next BusinessObjects Warehouse Rebuild. Once the Billing/Roster Report is correct, you will need to include a copy of it with your reimbursement request. If any additional corrections were necessary, you must also re-run the Detail/Audit Report.

Reporting requirements vary by funding source and project type. Use the table below to determine which Detail/Audit Report and Billing/Roster Report should be run for your project(s).

Setting the Prompts
Prompt | Instructions |
Select Funding Source | Select the funding source(s) you wish to include in the report. |
Select Provider(s): | Select the project(s) for which you wish to run the report. |
(Optional): Enter MHDC Grant ID: | This prompt will typically be left blank but can be used to enter the MHDC-assigned Grant ID. |
(Optional): Enter Grant Award Amount: | This prompt will typically be left blank but can be used to enter the specific grant award amount. |
EDA Provider | If only one project is selected in the "Select Provider(s):" prompt, select the same project here. If more than one project is selected in the Select Provider(s):" prompt, then select one of the projects. |
Enter Start Date: | Enter the start date for the reporting period in m/d/yyyy format. For example, if you're running a report for 7/1/2020-6/30/2021, the date entered in this box would be 7/1/2020. |
Ener End Date PLUS 1 Day: | Enter the date after the last date of the reporting period in m/d/yyyy format. For example, if you're running a report for 7/1/2020-6/30/2021, the date entered in this box would be 7/1/2021. |
Common Data Entry Mistakes
Missing Date of Birth
The date of birth must be recorded for each member of the household.
Missing/Incorrect Client Location (County)
Client Location (County) must be recorded for each member of the household and must be properly updated in an interim review if the household relocates to another county.
Missing Percentage of AMI
For MHTF and MoHIP grants, the Percentage of AMI field, found in section 3 of the entry and update assessments, must be completed for the Head of Household. This field is not collected for ESG projects. In addition, if the 90-day recertification determines that the household's income has changed enough to affect the Percentage of AMI, the field must be updated on a properly recorded Interim Review.
Unchecked Household Members (in Service Transactions)
All household members who benefit from the financial assistance service must be selected within each separate service transaction.
Service Not Recorded Under Head of Household
While all household members who benefit from the financial assistance should be included in a financial service, the service always needs to be recorded while on the Head of Household's profile. Services recorded under other household member's profiles will result in an inaccurate count of the total number of clients and households served.
Ineligible Service Recorded
If a service type that is not eligible is recorded, the billing report will not show that the service occurred.
Missing/Incorrect Payee
The MHDC Payee field should contain the name of the individual, agency, or company to whom the check is being written (e.g., the landlord, the utility company). It should not contain the name of the agency writing the check (e.g., ABC Rapid Rehousing Project). All services for MHDC-funded projects must be recorded utilizing the "Add Services" button. The "Add Multiple Services" button cannot be utilized, as it will not prompt you to record the MHDC Payee or Rent Amount.
Missing/Incorrect Funding Source
All financial assistance services for which any MHDC funds were expended must have both the funding source and amount properly recorded within each service. It is vitally important that the correct funding source be selected in order for the report to generate properly. A tip sheet on selecting the proper funding source is available here.
